Position Summary:
Responsible for administratively managing a University department under the general direction of a functional Program Director or under the auspices of a Program Advising Committee and according to an established program plan.
May participate in the development of program objectives and is responsible for achieving objectives within defined parameters set by University and/or department policies and procedures or technical principles.
May require fiscal management of grants and other funds.
May manage multiple programs.
Requires the use of independent judgment to determine the best approach to accomplish objectives established in the program plan.
May supervise staff as needed.
This position will support the research and clinical missions of the Division of Endocrinology, Diabetes and Metabolism, including the Comprehensive Diabetes Center.
Duties and Responsibilities:
· Manages research activities in the division of Endocrinology, Diabetes and Metabolism, through the oversight of fiscal activities, management of pre-award and post-award grant accounts and GL accounts in cooperation with shared services.
· Monitors adherence to budget and reports variances and causes of variances to Principal Investigator (PI)/faculty/division administrator.
· Works in partnership with PI to request and procure, edit and upload NIH biographical sketches (NIH Biosketch) and Curricula Vitae.
· Completes Office of Sponsored Programs (OSP) checklists and other OSP required forms.
· Procures and edits NIH Other Support forms.
· Assists with the review of the drafts of all grant components.
· Provides copy edits and suggests revisions as needed to all administrative materials included in an application.
· Edits and collects letters of support (LOS), facilities and resources (FR), and all other required attachments in research proposals.
· Distributes templates for LOS, FR, and other commonly required materials to be used by faculty.
· Serves as point of contact on communications related to research/grant activities to liaise with leadership, research sponsors, other internal groups and programs such as IACUC, IRB, Radiation Safety, OSP, etc.
· Manages division funds with adherence to all policies, procedures, approved budget and/or approved variances by processing and reconciliation of payment requests, purchase orders, P-Card process, etc.
· May assist with development of budgets for research and laboratory needs to accommodate research grant awards.
· Manages the contract review and routing process including the maintenance of CMS contracts, laboratory equipment maintenance contracts, purchasing and vendor contracts, etc.
for the division as is relates to research activities of PI/faculty.
· May initiate and set up new vendor, equipment and maintenance contracts as needed to accommodate research grant awards and division needs.
· Liaise with internal and external groups to support the PI and faculty within the division including meeting coordination and scheduling to support the clinical, research and patient care activities of PI/faculty.
· Perform other duties as assigned
Salary Range: $41,175 - $66,915
Qualifications
Bachelor's degree in a related field and two (2) years of related experience required.
Work experience may NOT substitute for education requirement.
Preferred Qualifications:
This position will require excellent communication skills, ability to multi-task and coordinate multiple and diverse projects and tasks.
A strong financial and grants accounting background is needed, with UAB specific experience a strong preference.
