Description
The Administrative Assistant will perform advanced and confidential administrative tasks and services to support the efficient operations of the Office of Law Registrar.
The ideal candidate must have a commitment to flexibility, integrity, and service excellence.
Job Duties
• Assists the Law Registrar by independently managing several advanced administrative tasks including:
• Coordinates student registration processes
• Completes course scheduling utilizing various software programs
• Liaises with faculty each term to publish course descriptions for students
• Processes student enrollment verifications and withdrawals
• Prepares graduation certificates for various state bars
• Assists the Law Registrar with other advanced tasks where attention to detail and independent work is required.
These include but are not limited to:
• ABA reporting
• Overseeing the Joint Degree Program
• Serves as a liaison with other departments and regularly submits reports to admissions, career development, student services, academic support, and the office of the associate dean
• Maintains tangible files for student and graduate records
• Maintains electronic files using a document management system
• Manages the filing and shredding of confidential documents
• Coordinates the Scholar of Merit award program; prepares and distributes awards
• Prepares Dean’s list for print and publication
• Provides support services to adjunct faculty by preparing course materials, issuing class rosters, recording class attendance, examinations, and grading.
May assist with exam proctoring.
• Answers and directs telephone inquiries, manages office supplies, and performs campus errands.
• Handles confidential student information and responds to outside inquiries according to FERPA guidelines
• Performs other related duties as assigned
Qualifications
• Bachelor’s degree and one year of related work experience
• Ability to work without direct supervision and to exercise individual initiative
• Ability to handle data and information of a confidential nature
• Effective organization and problem-solving skills with particular attention to detail
• Strong written and oral communication skills along with positive interpersonal skills to effectively interact with students, faculty, administrators, and staff
• Ability to manage multiple tasks, prioritize work assignments, and to complete them in an accurate and timely manner
• Demonstrated proficiency in Microsoft Office Suite, videoconferencing technology, and a willingness to learn and utilize specialized data programs
• Data entry skills
Preferred Qualifications
• Experience working with Banner data management system
• Integrated knowledge and understanding of higher education programs and practices
