Description The Business and Operations Manager provides administrative and operational oversight of business strategy, HR, legal compliance, building and accounting, and finance operations for the School of the Arts. The work involves a variety of administrative and office support duties related to budget preparation and management, financial report preparation, and processing human resources materials. This person will serve as the School’s liaison to all areas of Samford’s Office of Business Affairs. Job Duties Budget Management [Essential] (50%) Assist in the preparation and administration of all budgets within the School, work closely with School leadership in developing budgets, and work with the Dean in shaping fiscal strategy for the School. Monitor monthly department budgets to maintain expenditure controls. Prepare monthly budget, gift, and endowment reports for leadership and prepare additional analyses as requested. Oversee and execute the preparation and submission of requisitions for purchase orders and documents for approval of funds to ensure financial obligations are handled in a timely fashion. Manage expense reporting, review monthly transactions for p-card holders, manage deposits, manage budget development process, and provide written policies and procedures to School employees. Oversee business and operations for the Academy of the Arts in a shared leadership model with the Coordinator of Academy Music and the Coordinator of Academy Art and External Relations. Human Resources [Essential] (20%) Ensure proper recruitment and hiring process in the School and communicate written procedures. Coordinate and ensure proper part-time faculty and overload Letters of Agreement are submitted in a timely fashion. Maintain up-to-date records of School HR activity related to open and filled positions as well as searches. Legal Compliance [Essential] (10%) Stay informed of current legal policies for the University and communicate these in writing to the School of the Arts. Work with the Office of Legal Services to shape and execute contracts for the School of the Arts. Building Management [Essential] (10%) Oversee the coordinated calendaring and online scheduling of School spaces. Develop and enforce written policies for space usage and allocation. Other duties as assigned [non-essential] (10%) General staff contribution for School events when needed General hosting and facilitation of daily operations when needed Qualifications A Bachelors Degree in business, accounting, arts management or a related field. Experience in budget management and office administration. Preferred Qualifications Additional attributes that will be used in screening applicants: Ability to work without direct supervision, effective organization, problem-solving skills, strong communication skills, interpersonal skills, and the ability to work with data and information of a confidential nature. Describe the physical requirements of the job: This position will require the employee to work daily, five days per week, the ability to remain in a sitting position for extended periods of time, the ability to work continuously throughout the day, the ability to multi-task and respond to a variety of constituents.
