*Summary:*
Leads and performs all administrative functions in the front office in a professional manner.
Operates telephone switchboard system to answer, screen, or forward calls, provides information, takes messages and schedules appointments.
Welcomes persons entering the building, determines the nature and purpose of the visitor, and escorts them to specific destinations.
*Essential Job Functions:*
· Carries out responsibilities in accordance with the organization policies, procedures, and state, federal and local laws.
· Ability to answer telephones for a professional office environment and give information to callers, take messages, or transfers calls to appropriate individuals.
· Notifies company personnel of visitor arrival.
· Maintains security by following procedures, monitoring logbook, and issuing visitor badges.
· Ability to operate office equipment such as copiers and phone systems and arrange for repairs when equipment malfunctions.
· Coordinates and manages the conference room meeting schedule in order to avoid duplicate bookings.
· Receive, sort and distribute daily mail.
· Orders office supplies and keeps an inventory of stock on hand.
· Keeps a safe and clean reception area by complying with procedures, rules, and regulation.
· Contributes to team effort by accomplishing related results as needed.
· Other job duties as assigned.
*Knowledge of:*
· Appropriate and professional office communication and terminology; both written and verbal.
· Structure and content of the English language including meaning and spelling of words, rules of composition, and grammar.
· Clerical procedures and systems such as word processing, managing files and records.
*Skilled in:*
· Following verbal and written directions.
· Outstanding ability to maintain and deal with confidential information.
· Proofreading documents, records or other files to ensure accuracy.
· Professional communication via telephone, written form, email or in person.
· Clear and concise communication, both orally and in writing.

· Must be well organized, possess outstanding administrative skills, and be able to interface with all levels of management.
· Basic computer knowledge and proficiency in Microsoft Office.

· Ensures compliance with all Company policies and procedures, including safety rules and regulations.

*Preferred Qualifications:*
· High School Diploma or equivalent
· Minimum of 2 – 3 years administrative assistant or receptionist experience with executives or senior level managers.
· Familiarity with phone systems.
